Many London-based businesses use professional telephone answering services, such as the one provided by Capital Office in London, to enjoy different benefits.

Many London-based businesses find that using a professional telephone answering service, such as the one provided by Capital Office in London, to be very beneficial in many ways. Like most things in the capital city, the costs associated with starting up and sustaining a business in London can often far exceed the costs paid in other less expensive areas of the UK.

One way to keep your business running costs down is by taking advantage of the services offered by a professional business call answering service. Luckily, London is home to one of the best call answering services in the country and offers businesses of all sizes the help they need to significantly reduce their overheads while at the same time maintaining a very high level of customer service and customer satisfaction.

How can your business call answering service save me money?

Well to put it in plain English, your business gets to benefit from a full-time receptionist answering every single incoming business call you receive without you actually having to employ any staff or provide an office or reception area for them to work from.

Using virtual office services such as these can save you thousands of pounds because your business will no be paying out to cover the wages of any reception or office staff. You will also be saving a lot of money on office rent, utility bills, IT infrastructure and equipment costs.

When you think that the average salary for a London-based receptionist on a full-time employment contract is in the region of £25,000 per annum, by choosing to use a professional call answering service for your business instead will be making you an instant saving of thousands of pounds. This is an obvious saving, but when you add on all the extra savings from not having to include office rental, IT and telephony-related equipment, power, heating and water bills etc. it makes so much sense to go with a virtual service provider that can deliver you the professional services you need at a remarkably low price.

Why choose Capital Office Call Answering Services?

With our professional business call answering services, you get to benefit from our services immediately. Think of the time you will be saving not having the hassle of finding your own receptionist – from paying for a job advertisement, sorting through job applications, short-listing candidates, going through the interview process and finally appointing the best candidate.

In most cases, you may also have to wait while your new employee serves out their notice at their previous employment before they can even start working for you. Then you need to provide your receptionist with an office to work from and the equipment needed to answer your calls. You also need to work out an employment contract, work out National Insurance contributions, pension payments and holiday entitlements etc.

Instead of all this hassle, why not simply save yourself a lot of time by booking our professional call answering services. There are no setup fees involved and instead of waiting around for weeks, you get to benefit from our services from day one. You can directly benefit from the services of a fully qualified and experienced telephone receptionist at the fraction of the cost of employing your own.

How does your call answering service work?

Our friendly staff at Capital Office can quickly and smoothly set up your fully personalised call answering service the same day. We will need to know your preferred greeting so that your virtual receptionist can answer your calls exactly as you like.

You will get your own unique London based telephone number that you can use as your own, or if you want to keep your existing business number, you can choose to have your calls diverted to your personally issued new number.

Our professional call answering team will recognise your telephone number and will be able to answer your incoming business calls swiftly, politely and efficiently. Your callers will get to hear a professionally trained receptionist answer their call and they will never know they are speaking to anyone other than an in-house staff member.

Your callers will also interact directly with a real human being, so this means they will not be put off by being greeted with an automated answering service or a robotic recorded message. In reality, our London-based call answering staff are a friendly team of real-world receptionist with many years of collective experience!

You can tell us exactly how to handle your incoming business calls and what you want us to do with them. For example, you may want us to log every incoming call and take messages that can be passed on to you later in the day. Or you may prefer us to filter your calls and only put through genuine calls directly to you from existing customers or B2B clients.

Your business callers will never know

Because our team of dedicated virtual receptionists are all professionally trained and have plenty of experience, your existing and prospective customers will be delivered with a very high level of customer service. Their call will be answered quickly with your preferred greeting and dealt with accordingly. This can include being directed to one of your staff members as appropriate, a message taken and relayed either immediately or at a convenient time as dictated by yourself via either text message or email so you can call them back at a time that is more convenient.

Having a real-life human answering your phone calls creates a much better first impression of your business than being greeted by an answering machine. You may consider using an answering machine to take your calls and messages while you are otherwise engaged, but research has shown that a high percentage of first-time business callers are put off by encountering an answering machine. Most callers either put the phone down without leaving a message and never bother to call back, or they will leave a message and then worry that they will never be called back.

The reassurance of speaking to an actual person on the end of the line can make all the difference. Callers are much more happy to leave messages with a real receptionist and are more confident that their message will get through to the right person and be called back accordingly.

This is a much better plan of action to take for the success of your business than sitting and listening to the playback on your answering machine only to hear many callers immediately hang up on hearing the message. Research shows that as many as seven out of ten business callers do just this when met with an answering machine. To you that can mean you are missing out on up to 70% of potential new customers coming to you via your business phone. Can you really afford to lose so many potential new customers to the coldness and detachment of an answering machine?

Sounds too good to be true!

You may be wondering if there is any catch to our call answering services. The truth is that there are none! It is so much simpler, quicker, cheaper and less hassle to use a good call answering service such as ours for the following reasons as well as the ones already mentioned above:

  • No more cold callers: As your calls are screened by our service, you will never be disturbed by cold callers wanting to sell you something.
  • Privacy and protection: Your home telephone number will be kept private, this is especially important for those small business owners that work from home.
  • No interruptions: You don't need to break your concentration or interrupt a business meeting with a client to constantly answer your incoming business calls.
  • Higher productivity: When you need to get your head down and get a work project completed in peace or to meet a tight deadline, you can get great peace of mind knowing that your calls are being answered.

10 Ways to Improve Your Business With Our Call Answering Services

Let’s take a closer look at ten ways that using a professional call answering service or hiring a virtual receptionist can help your business to improve.

There has been an increasing rise in popularity of using virtual receptionists and professional call answering services amongst solo-entrepreneurs, small and medium-sized businesses across the UK in recent years. The reasons for the rise in popularity of these services is quite obvious once you take a look at the many benefits that using these virtual services can bring to your business and how they can help you to improve your productivity levels and bottom line.

Let's take a closer look at ten ways that using a professional call answering service or hiring a virtual receptionist can help your business to improve.

1: No need to hire and train new staff

One of the most obvious benefits for your business, especially if you are a sole trader or solo-entrepreneur that employs no other staff, is the fact that you will have a fully trained professional virtual receptionist ready to take your business calls from day one.

Professional call answering services, such as our own team at Capital Offices in London, are all fully-trained individuals with years of experience of working as a virtual receptionist. This means that as soon as you book our services, you will get immediate telephone coverage with polite and professional receptionists answering your calls using the greeting of your choice.

You will be saving yourself a heck of a lot of time and money hiring a virtual receptionist rather than employing one for your business by yourself. Employing your own receptionist will mean paying for a job advert, sorting through tons of job applications, shortlisting the best candidates, scheduling interviews, conducting interviews and then having to complete all the legal paperwork, registration with HMRC and drawing up of a contract of employment.

All this hassle and expense even before you can start to benefit from having the help of a receptionist! Then there is the settling in period and the training needed, especially if you have chosen someone with little receptionist experience.

It is so much simpler, quicker, cheaper and less hassle to use a good call answering service instead!

2: No more cold callers!

We all know that you cannot afford to ignore your ringing phone, especially if you are running a business where you are encouraging prospective new customers to call you for more information about your products or services.

Advertising your business number and making it visible to the general public will not only enable you to receive calls and enquiries from prospective new customers, as well as existing customers, but you are also opening yourself up to calls from sales reps and cold callers from all sorts of different industries. It can be incredibly frustrating to answer your business phone to find that maybe three out of five incoming calls are from sales reps or survey companies.

With a professional call answering service, you will never need to take the call in the first place. Your own virtual receptionist will be able to screen all of your calls for you, which means that you will only get genuine business calls coming through to you that actually want to get.

3: Put your productivity into overdrive

By using our high-quality call answering services you can truly maximise your productivity levels and take them to new heights! We all know that constantly being disturbed by your phone ringing can break your concentration and take your focus away from your important work tasks.

Having your own virtual receptionist will enable you to safely ignore your phone and allow you to continue to focus on your work projects without disruption. You don't need to worry about missed sales opportunities or missing important messages from your clients or customers because your virtual receptionist will intercept your calls on your behalf and leave you in peace to get on with your work. Your business caller will still feel very valued in your absence because their call has been answered swiftly, politely and professionally.

4: Travel between meetings safely

If your business involves you being on the road a lot travelling between customers or clients, then you will have a problem with answering your phone safely. It may be incredibly frustrating and time-consuming to constantly need to pull your car over to the side of the road to simply answer your phone each time it rings.

We all know that it is against the law to drive while on a mobile phone, so ignoring this can seriously put your safety at risk while driving. If you are spotted driving while on your phone by a police officer or a surveillance camera, you can face a hefty fine and points on your driving licence.

You can travel more safely between your appointments with more concentration and with fewer interruptions when you put your business calls into the hands of a professional virtual receptionist.

5: Phone cover while in meetings

There can be nothing more frustrating for your clients or customers than you constantly interrupting your business meeting by taking incoming calls on your phone. Your call answering service can take down important messages for you while you are busy in your meeting and quickly deliver them to you once you are free and able to respond to your messages.

6: Prioritise your callers

When you are busy working or in a meeting, you need to focus on what you are doing at the time. This can often mean having to miss a call or query from an important existing customer or B2B partner. Your virtual receptionist will be able to take messages from your general callers, but will also be briefed about any very important callers that need to be prioritised. This can often mean putting these calls directly through to you regardless of where you are or what you are doing.

7: Make your business look bigger than it is

Your prospective new customers will call you for more information about your products and services. When they have their call answered by a professional receptionist, they will immediately get an impression of a large and successful business with an organised set-up. This is a much better first impression to create in your customer’s mind than to have their call answered by a very flustered and irritated business owner that is trying to juggle too many tasks at once.

This can help to reassure prospective new customers or B2B clients that may be a little wary about dealing with a small, unknown company.

8: Much better customer service

The success of your business starts and ends with your customers. Without them, you would have no business! Keeping your customers happy and well treated is of vital importance for your business success, so having a very professional virtual receptionist on hand to answer customer calls promptly, politely and with a friendly manner, each and every time they call will add so much power to your ability to convert prospects to paying customers.

A consistent level of high-quality customer service can build a lot of trust and loyalty in your customers that means they are more likely to repeat-buy from you rather than go to one of your competitors.

9: Flexible services

Hiring our call answering services gives you a lot of flexibility that you couldn't get from employing your own staff. You may be working from a very tight budget that means you cannot afford to employ a full-time receptionist for your business. Staff wages and all the added expenses that come with providing your employees with the IT equipment and infrastructure needed for them to do an effective job all costs a lot of money.

The great thing with professional unlimited call answering services such as ours is that you can tailor it to suit your needs. You can save yourself a lot of money by using our virtual solution for just one month, three months, six months or twelve months – as you need us!

10: You get to keep more of your money

Quite simply, it is far more cost-effective for you to use virtual services such as our Professional Unlimited Call Answering Service because it is far more affordable than employing your own staff and kitting out an office or reception area of your own.

In many cases, a sole trader or solo-entrepreneur that is happy working from home can completely avoid the necessity and costs of setting up a physical office for their business if they are happy to continue along as they are and have no plans to expand their business beyond creating a job for themselves alone. Or if they prefer to have a small and flexible workspace where their team can collaborate together without having any designated desk space.

With our professional call answering service, our team of PA's answer your phone calls allowing you to have great peace of mind that you haven't missed any important business calls while you were unavailable on were busy in a meeting. This means that you will be left with more money in your bank account that can be invested in other important areas of your business.

How Modern Technology Can Improve the Workplace

There have been a technological explosion over recent years that has seen the rapid adoption of new technology to provide great advancements in the workplace.

Running your own business takes a lot of hard work and effort. Any business owner will agree and appreciate that fact, but a big part of making your business a success is to be open to the latest ideas and innovations in technology. It can take a good while to establish an efficient and productive workplace with a lot of testing, trial and error along the way to find what works best for you. However, if you want to stay on top and run your business to maximum efficiency than you cannot risk becoming complacent about your work processes and procedures.

How is technology improving the workplace?

There has been a technological explosion over recent years that has seen the rapid adoption of new technology and computer apps and tools that have provided great advancements in the workplace. This has meant that a lot of brand new startups have jumped in with a completely different workplace design that looks nothing like how a traditional business was structured, even as little as five years ago. There is no denying that the workplace has been gradually evolving over the years with small improvements and updates, but throughout many decades the humble office has pretty much stuck to the same tried and tested structure that existed 150 years ago, or even longer.New start-up businesses are finding new ways of working that not only help to improve productivity in the workplace, but also enable entrepreneurs to start their new ventures as a lean business operating on a minimal budget. This involves creating the right workplace environment to attract and retain their key staff members that will act as the foundation nuts and bolts of their business. Many new business enterprises are started these days on a very small scale with just a handful of key staff that are essential to the company. Modern technology has enabled more entrepreneurs to launch their successful business ideas without needing huge financial backing or business loans for large-scale office and workspace premises to work out of, or the need to hire as many employees as would have been needed on the ground as say 15 or 20 years ago.Modern technology has now been providing new business owners with the right tools for productivity, effectiveness and efficiency at the fraction of the cost of having to pay in-house staff to do certain essential everyday tasks.

Flexibility to grow and expand or scale down as needed

A lot of business owners can face fluctuations in business revenue throughout the year. This is quite commonly expected for seasonal businesses and for those who's manufacturing output depends on the consistency of incoming orders. Navigating the ebbs and flows of a variable cash-flow and managing it well is one of the key elements to running a successful long-lasting business. The flexibility that modern technology offers a business owner means that they can scale up or scale down their operations to match their workflow and will mean that they are not paying out a huge chunk of their business revenue on costly office rental contracts or staff wages. These days your company staff no longer need to be chained to their work desks or glued to their computer screens to ensure that their tasks get completed. The introduction of portable IT products such as laptops, tablets and smartphones have enabled workers to carry their work with them. This has lead to a lot of employers offering flexible work contacts to their employees that has enabled many of them to hire remote staff that can work from home so they don't have to pay out to supply their workers with a physical bricks and mortar office, the IT and telecommunications infrastructure needed, or power and water services that go with a standard office lease. For the business owner, this is a very freeing approach because they can simply take on more remote freelance or contracted staff to help them complete an incoming large project that their existing team may struggle to cope with on their own. It also means that they don't need to turn down any opportunities that come their way simply because they lack the capacity to handle large projects with the staff they currently have. The use of online collaboration tools such as Slack and Smartsheet means that you can control all of your team members from one place, no matter where in the world they are! Your team can collaborate and share files, progress and essential information in one place and you can keep an eye on everything that is going on without needing to leave the comfort of your office.

Scaled-down workplaces

With the use of modern technology combined with flexible working patterns, many business owners find that they no longer need as many office desks or workstations than before. Because not every employee is in your office all day every day, you can look at saving yourself a lot of money by having a scaled-down office structure where desk spaces are shared between employees.Technology is a wonderful thing for productivity and efficiency at work, but you may not want to go as far as using smart sensor technology to monitor your desk occupancy, but it is useful to know how many people are using desk space at any one time.Knowing how long desks are left vacant can help you analyse how much desk space your company actually needs. You could look at incorporating hot desks or workspace benches where your employees have somewhere to work from while in the office, but isn't their own designated area and is shared by your team as a collective.

Virtual Office Options

Is there actually a need for you to have a workplace office or reception area at all? This is a very important question to ask yourself, especially if you are setting yourself up as a sole trader or solo-entrepreneur. You may be thinking of starting up a small business from home or from a small workshop or retail shop where you either don't have the space for an office set up, or you simply don't need to run an office or have a reception area.Of course, if you are setting up on your own, you will have to realise that you need to handle all of your business administration tasks by yourself and that includes answering your business calls, doing your own bookkeeping and business accounts as well as opening and dealing with all your business post. For a lot of solo-entrepreneurs with big ideas, the thought of doing everything yourself, right down to being your own receptionist and office clerk, can be very frustrating. The time it takes to do your everyday administration tasks can be huge, and it is time that could be better spent more productively elsewhere on your business. This is why Complete Virtual Office Services have taken off in recent years, especially amongst small business owners that are trying hard to start and grow their business on a limited budget. Virtual office services are wonderful tools for a solo-entrepreneur simply because they don't need to blow their budget on leasing office space and hiring administrative staff to look after these essential business tasks.By using virtual services you can free up your time to spend engaging with prospective new customers or building your business network, or simply actually doing your work instead of getting distracted and interrupted by answering the phone every time it rings. If you think you can handle your incoming business post by yourself because that is just one task per day and can be handled in the morning, then this task is still time-consuming enough to tie up a decent chunk of your working day. Answering your telephone on top of this is different because the phone can ring at any time during the day. This is why it makes good business sense to look at using a professional call answering service such as the one offered by Capital Offices.Professional call answering services can free up your time and allow you to concentrate on your work without constant interruptions. This means that you can become more productive and are able to better meet your client deadlines. Your business calls will be in the safest of hands and will ensure that not a single phone call is missed because you are busy working or are with an important client that needs your full attention. With a call answering service alone you will greatly benefit because you will never lose any new opportunities coming from curious potential customers and your callers will be impressed that you have a professional receptionist answering their call instead of the stressed-out boss who is obviously struggling to manage everything on their own.

Better communications

Winning new clients and holding on to your existing customer base is crucial if you want your business to remain sustainable. A lot of business success is down to your customer service and the way you communicate with people. There is so much modern technology available that you can take advantage of to make managing your customer relationships easier, and that includes outsourcing some of your essential business tasks to experts in their field that can help you.Rather than struggling with numbers and balancing your books, you can look at hiring a professional accountant or using an online bookkeeping and accounting solution, such as QuickBooks. For your business administrative tasks, you can look at hiring either Complete Virtual Office Services or just having your business calls taken care of via a Professional Call Answering Service.Additional physical workspace such as meeting rooms are also being changed for the better by modern technology. No longer do you need to pay out rent on a meeting room that is hardly used on a regular basis. Instead, you can look at taking advantage of hiring ready to use meeting room space in London for your important client meetings or as a gathering place for your annual AGM.All these advancements mean that you can help your business to reach high levels of productivity, collaborate easily with all of your team without the need to keep them tied to your office, and save a lot of money by using apps, software tools and virtual services. If you would like more information about any of our professional business services, feel free to call our friendly team on 0207 566 3939 or email us: OFFICE@CAPITAL-OFFICE.CO.UK or why not pop in to meet us at Capital Office, Kemp House, 152 - 160 City Road, London, EC1V 2NX.

Redefine Your Workspace by Redesigning Your Office Structure

With changing times, you need to redefine your workspace by redesigning your office structure to ensure that the area if more productive and focused on work.

For many decades going back in time, office space was an element that business owners paid little attention to. Very little thought went into the office because as far as a business owner was concerned, as long as there was enough space to house their staff and the building was cheap enough to buy or rent, that was enough for them to consider. Office design and layout was never really a decisive element of whether a building would be suitable or not. However, times are changing and now more than ever before employers are having to take into consideration the mental health and well-being of their staff. Office design and position are now being looked at in more detail to ensure that the environment delivers a positive impact on their staff and how they work. There are a number of factors that are now being looked at from open space, natural daylight levels, ergonomic furniture design, colour choice for décor, plants and greenery, lighting, heating and air circulation.A number of flexible working arrangements are also becoming more popular, such as splitting the working week between the working in the company office for two or three days per week and from home for the remainder of the week. For smaller business start-ups and micro-businesses, many more owners are now working a lean operation where they don't operate any offices at all. Instead, all administration work is outsourced to outside professionals such as Capital Offices that provide fully comprehensive Virtual Office Services. Taking this option can be a very cost-effective move and can mean that a new company will have more money to re-invest back into their business for future growth rather than see it spent on office rent, building insurance, utilities and staff wages.

Working arrangements and employees mental health

According to a report from Kelby Ergo Design (KED), nearly 90 per cent of our time is spent indoors. Those adults that are employed outside of the home will spend a whopping 33 per cent of their time within their workplace. It doesn't come as a surprise to learn then that the UK is currently suffering from a severe mental health crisis. According to the Office for National Statistics, one in four young women are reporting mental health problems, so concerns from employers for the well-being of their employees are now becoming a major consideration. Many modern business setups are moving away from old-fashioned cubicle office designs that had quite an isolating impact of their employees. Instead, more thought is being put into improving working conditions to allow more social and physical interaction that encourages stronger working relationships. This, in turn, helps to improve working collaborations, raises the mood and well-being of staff and goes a long way to improving productivity levels for the company.Improved office layout and flexible working conditions have also seen a positive rise in performance levels, reduced rates of errors, and fewer workplace injuries and sickness absences. This is why it very important to consider the psychology behind your office design should you consider running a physical office on your business premises.

Alternative design-thinking

Making positive changes to your office space can help to boost your productivity and the mental well-being of your staff. You will also be helping to create a more pleasant and enjoyable working atmosphere that will help you to retain the best talent that your company currently has. Unhappy workers will quickly seek alternative employment should their working environment be an unhappy one. Many business owners just starting out across the UK are now choosing new office space that offer well-designed layouts rather than cheap as chips commercial spaces where offices are often shoe-horned into corners without much thought. Even though the rent may be a little higher on well-planned office spaces, the saving your company can make over the longer term can be greater because of the positive effect your office environment will have on your employees' mental health and well-being.Flexibility is also another major factor for new business owners to consider here. To cater to the demand for more flexible working options, company owners are now looking at digital offices that work in the cloud and allow for collaboration from team members wherever their location. This means more flexibility for staff to work from home or on the road visiting clients face-to-face at their places of work.

Virtual office revolution

Another major change to the landscape of the working office is that of benefiting from virtual office services from professional providers such as Capital Office in London. This concept has been a positive shift in thinking by new business owners. With many new companies, the traditional corporate office set up is fast becoming a thing of the past. More businesses are adopting either a home-away-from-home approach to their office environment, incorporating more staff rest and recreational areas, organising yoga sessions, mindfulness classes and discounted gym memberships. Many more company owners are even eliminating many day-to-day administration duties such as telephone call answering and mail sorting by outsourcing these tasks to outside professionals. By doing this the company can save a lot of money by not having to employ their own office administration staff or payout for office space to accommodate them.A lot of research and design companies appreciate a working environment that offers peace and quiet to allow them to concentrate on their work. By removing the distractions of constant telephone calls, office chatter and the hustle and bustle of mail sorting duties, staff can focus more of their attention towards developing their projects without interruption or distraction.By putting your essential day to day office duties into the hands of a professional virtual office provider, business owners can be rest assured that all of their important telephone calls are being handled correctly in a timely and responsive manner. They can also greatly benefit from the time-saving mail sorting services on offer. Adopting these virtual services means that your mail sorting company can handle and deal with your business post in an appropriate way so you don't have to!Should a company owner decide to offer more flexible working arrangements for their staff, this can mean them having members of staff working from various locations, but all interconnected through modern technology to allow collaboration and teamwork to continue unheeded.By outsourcing regular office admin duties to professionals such as Capital Office, it will also mean that no piece of important mail will go astray or crucial telephone call missed. No matter where your key staff are working at any particular time, they will always be kept up to date with important phone calls and mail notifications through your virtual office service provider. We can take your incoming calls and deal with them as per your instructions. This means that if you don't want to be disturbed, we can take phone messages and forward them to you in a timely manner. Or if you are waiting for an important call from one particular client, we can ensure that they are put through to you with high priority.Important letters and documents can be scanned and emailed through to you so you are kept completely up to date with your post without having to experience any delays. We can bundle up your incoming mail and forward it on to you at regular intervals as designated by yourself, or if you are passing by our London offices, you can call in to pick up your mail in person if you so wish. This is how flexible our virtual office services are.

Freedom from the constraints of the office

Company owners are now realising that their staff don't need to spend so many working hours stuck behind a desk. More companies than ever before are offering their employees the freedom to decide how and where they work. This change in office structure has seen a rise in happier and more productive staff.Introducing flexible working conditions and outsourcing day to day administration tasks that used to tie-down staff has helped to improve their general well-being and mental health.Business owners, especially solo-entrepreneurs or sole traders, are also seeing greater savings by operating a lean company where they don't need to spend out a large chunk of their revenue on renting unnecessary office space and all the associated insurance, utility bills and maintenance costs that come with it.As the business environment evolves over time, it is becoming more apparent than ever that the days of work cubicles and cramped, clinical office settings are being left well behind.Find out more about our flexible virtual office services and how using our cost-effective professional services can save you a lot of money!

What Benefits Can Your Business Get From Virtual Receptionist?

A virtual receptionist is available to your business needs 24 hours a day and doesn’t need time off for sickness or holidays, along with many more benefits.

With more and more companies offering business owners virtual services via the internet, a greater number of companies than ever before are taking advantage of the many services on offer, such as the one being offered by Your Virtual Office. A sole operator or entrepreneur can save themselves a lot of money by using someone to outsource different parts of the business rather than them having to hire out a large building to accommodate a full suite of in-house staff, as well as avoid all the overheads of supplying and running essential IT and telecommunications equipment.

A popular option for the single business owner or entrepreneur is to use a virtual receptionist through our professional call-handling package to help manage essential aspects of the day to day reception duties without the need for employing someone on site. But what are the benefits of hiring a virtual receptionist, and what can most businesses expect get from using such a service?

Ideal employee

For starters, a virtual receptionist can be available to your business needs 24 hours a day and doesn’t need time off for sickness or holidays – that’s because you are outsourcing to a virtual service rather than hiring an individual receptionist. The virtual service provider will have a team of people to handle all the individual services you need and this means there are none of the usual limits and barriers that you find with hiring a single member of staff to work on site.

Having a virtual receptionist service on hand also allows you to offer your callers a professional receptionist service at any time, ideal if you want to conduct in-depth or drawn-out business or client meetings where you don't want to be disturbed, but you cannot afford to miss any important incoming calls.

For those small business owners who may only need a voicemail only service to cover periods where they are out of communication, such as during business meetings, travel times or while away on holiday, then there are even low-cost services to suit you too!

The financial costs of hiring a virtual receptionist is also much less than taking on a full-time employee, especially when hiring the service over the longer term where you can get great value for money. Not only do you get that very important extensive receptionist coverage you require, but you don’t have all the associated costs that come with having someone offering this service within your business – there are no holidays to accommodate, pension plans to contribute to, sick days to cover, equipment to provide, or other expenses.

Avoid employee issues

Many businesses will have hired temporary staff over the years to do this kind of work and while this can be a great option, at other times it doesn’t work out quite so well. By using the services of a virtual receptionist, you are accessing professionally trained people who will be able to perform this service all of the time, no matter where you are based or what your line of business is. The kind of experience and professional expertise offered by a virtual receptionist would cost a lot to employ for your company, full or part-time, if you could even find someone that good.

Professional Virtual Receptionists services are also very flexible and are able to be completely personalised to suit your company – the receptionist answers with your company name, accesses your business information and will act as if they were a full-time member of your business team. This means that they can offer a fully comprehensive, seamless, and professional customer service without actually being physically present within your company, or ever having to set foot through your doorway.

Virtual Services Available

As well as ensuring that they answer your incoming business calls with a warm and friendly tone using your company name, your virtual receptionist will also know about your company background. They will be able to intercept and direct an incoming call confidently, politely and efficiently.

Depending on your business needs, your virtual reception services can be tailored to meet your requirements. This can include routing calls to the right person, transferring calls between different sections of the business, taking messages while staff members are unavailable, and even for the screening out sales calls and nuisance callers.

By simply outsourcing your essential company receptionist duties to Your Virtual Office, you can have all the professional services that a full-time receptionist offers without the need to hire any full or part-time employees whatsoever.

You can save yourself a lot of money too because you also don’t need a physical location for them to be based – no need to have an office within the premises with a phone system and a desk. There is no need to have an office at all for your administration needs if your business model doesn’t’ require one. And you can keep down the costs of overheads such as electricity, office rent, stationery, land-line and mobile phone costs by outsourcing this service while still offering the best possible customer experience to everyone who calls your company.

Why Would Your Business Use a Virtual Office?

Many types of businesses have opted the option to combine their need for company space with lack of need for a customer facing facility – the virtual office.

For many businesses, one of the first things they believe they need to acquire to become a reality, or a bona fide business, is a physical premises to operate from – usually an office or shop space. And while this remains the case for many types of business, others have begun to explore a better option to help combine their need for a company space with the lack of need for a customer facing facility – the virtual office.

As the notion of flexible working becomes more of a reality, and a central part of many businesses working life, many business owners are examining new ways to work. Technology and progressive management techniques also mean that the traditional bricks and mortar office is not always an essential requirement for a modern business. Changing business structures, flexible working arrangements and the outsourcing of services have all meant that the virtual office may be the perfect solution for your business.

What is a virtual office?

Virtual offices allow your business some of the key benefits of a traditional office without the need to hire a dedicated physical space, such as an office block, or a commercial premises that also contains a suite of offices. A virtual office can offer a professional city centre address, call handling, mail sorting and reception services that allow the business to portray a professional image to the whole world without the inconvenience of having office or building space to rent and other associated costs. Virtual office packages start with a very basic ‘address only’ options that can handle mail forwarding and create a physical business address. This means that you don't have to use your own personal home address on your business paperwork and then have to suffer being inundated with junk mail and cold callers at your home.

In addition, businesses can also use services that assist people working from home such as PA services and access to meeting rooms at a discounted price for when you need somewhere professional to meet with important clients. It even offers call management services to cut down the time spent answering the phone. These services can be a Godsend to busy entrepreneurs who need to focus on getting their business off the ground without all of their time being taken up with the necessary day to day administrative tasks of running a company.

When is a virtual office the right option?

The cost difference between a virtual office and real bricks and mortar office is obviously significant, especially for address only and mail forwarding services where you want to keep your home address private and separate from your business. Added to this is the prestige of having an EC1 London city centre location for a business address that most business owners couldn’t afford to rent for their traditional office space. But cost alone isn’t the only way to know when a virtual office is the right choice.

The trend for people working from home has grown steadily over the last ten years or so as more people either work freelance, start their own business from home, or simply conduct their company role from their home address. Rather than being a temporary solution, it has become a lifestyle choice for a wide range of people – from parents to people wanting to live in rural locations or even in another country.

However, there are still some who see this business model as offering problems – people located in far flung places, removed from the ‘real’ world of business as they work from home. Often a physical address is used as a defining factor when choosing a business to work with and a home based business may miss out due to this. By replacing the registered address from a home address to a virtual office, a business can cut through this preconception and offer a traditional style address to look more professional in the eyes of prospective new customers.

Another option is for those home based businesses who need extra services but don’t want to commit to running a full office suite just yet. Or they have an office that they are happy with but it is in a more remote location and when you are London-based, this can sometimes be seen as a negative. Some 74% of businesses currently using virtual office services are working with companies based in the City or West End of London but who aren’t ready to commit to a physical office space in these locations.

Geographical benefits

Another part of the flexible, home working business model is that employees can be remote or satellite workers that are spread across diverse geographical areas where a permanent office space for this type of business simply doesn’t make any logical sense. However, a central address to use for correspondence purposes as well as for client meetings and even to use for personal assistant services can be highly beneficial. Quite often these service are used by a sole trader, freelancer or single entrepreneur who needs PA services to support them in their work.

A high quality complete virtual office service will act as part of the team, adding an additional level of professionalism to the business, as well as helping to manage essential administration duties. It allows businesses that are using flexible and modern technology options for their business to also offer a physical address that fulfils some traditional requirements and is also a very cost-effective way to get a professional London address. The virtual office services can also be scaled up and down as needed and cancelled within a short notice period if the needs of the business should change. This is not so easy to do in the real world with live staff that you will have to hire and fire as your business develops and matures. It also allows core staff to work wherever suits them best rather than wasting time commuting into the office every morning and thankfully avoid that dreaded rush hour traffic!

How Flexible and Virtual Offices in London will help to Bridge the Brexit Gap

No matter where your company is based, you can easily bridge the Berxit gap with the help of Virtual & Flexible Office that is based in the heart of London

When the UK voted to leave the European Union back in June 2016, the business world was thrown into turmoil. No one could say with any great certainty what the future would hold for UK businesses, no matter what their size and trading position with Europe. With some experts speculating that the British economy will take hit, many business owners are now looking at ways that they can tighten their belts and make their business more ‘Brexit-proof’.

As we still don’t know what will happen for the vast majority of businesses because the Brexit negotiations have only just begun, what actions you take to ensure the future survival of your business is largely up to you. However, examining your budgets, cutting your expenses and looking for more affordable and flexible solutions is going to be a top priority moving forward. One area where a lot of money can potentially be saved is from within your own work-space infrastructure.

Just about every business owner wants to see their business thrive and expand, but while budget constrains and uncertainty about the future are hanging so prominently in the air, the last thing you want to do is to enter into long and expensive property leases that could be difficult to get out of. The solution to this of course is to look at setting up a flexible way to cover your expanding office and administration needs without actually having the expense or commitment needed to take on full-time members of staff and provide them with office accommodation.

There are already well-established and reliable services in place that you can take advantage of to meet your growing business needs while the country is going through Brexit. From using a simple call answering service to a comprehensive London-based Virtual Office Package where you can combine a virtual PA, mail sorting and forwarding services, and have the use of a modern business meeting room in a prestigious part of London city to meet and greet your clients.

Regardless of the outcomes from Brexit, London will still remain as one of the greatest cities in the world to operate a business from. Although working environments are changing rapidly, especially with the advancement of technology, there is nothing like having a prestigious London based address to work from. No matter where your company is based, you can benefit from using a Virtual Office that is based in the heart of London.

Flexibility is a major factor

While we go through the Brexit process, business owners are going to be faced with market fluctuations on an almost daily basis. Having the built-in flexibility of a Virtual Office service can help you transition between pre and post-Brexit smoothly without worrying about committing your business assets, or tying your business up in long and complicated contracts that could prove very costly in the long-run.

Having the flexibility that a Virtual Office and flexible meeting rooms can offer with mean you have the agility to scale up or down your requirements as you need them. You will be able to meet the demands of a sudden boost in your business without worrying that you have overstretched your budgets. Should market changes and fluctuations mean your need to downsize quickly, then you are not stuck with an unsustainable contract for business premises or face having to lay off staff.

No matter how rough a ride Brexit will give UK businesses, it will still be important for companies to present a strong and steady front if they are to remain competitive in the future. Your image and how people interpret your company still hinges on you offering a bespoke and reliable service. Using a well-established and experienced Virtual Office service can give your company the boost it needs to continue to exude an air of professionalism and trust, no matter what stage we are at with our divorce from the EU.

For entrepreneurs and small businesses

A Virtual Office package is an ideal alternative solution for small business owners or entrepreneurs with restricted budgets. Many small businesses don’t actually need a full-time, fully staffed office. Having a Virtual Office package in place will allow you all the benefits of a regular office but at the fraction of the price of setting up and maintaining one yourself.

Many business owners start off with just mail forwarding and telephone call answering services until they are in a position to afford to set up and run a permanent office. However, very many of them go on to continue using these services or take on a Virtual Office because it is a lot less of a hassle and costs far less than committing to a full time on-site office. With the possibility that physical office space rental may rise sharply post-Brexit, it makes more financial sense to stick with a Virtual Office package where prices will remain stable over the long-term.

It also makes sense that business owners shouldn’t have to pay out to keep a meeting room space that is vastly underused onsite. Using a modern, well-maintained and fully serviced meeting room in the heart of the London business district to meet and greet your clients is going to impress. Hiring an unbranded meeting room allows you to conduct important business meetings in a profession environment where your clients will be totally unaware that you don’t own the building. You get the help of professional admin staff to greet your clients and service your meeting room without the added commitment of having to employ any permanent staff yourself.

A bright future post-Brexit

Flexible work-space hire has grown by 67% in London in the past decade alone and with the uncertainty surrounding Brexit, experts are predicting another sharp rise in these figures over the next few years while the economic marketplace starts to settle down once again. Regardless of Brexit, flexible office space and Virtual Office solutions are not going to disappear overnight. With over 30 years of growth within London, this way of working is looking increasingly more appealing to smart business owners who want to ride the rough waves of Brexit and appear on the other side as a much stronger competitor in their marketplace.

Take a look at our Virtual Office package to see how you can benefit from our professional services.

We can also help you with the following services to assist your business growth and to make your business run more efficiently:

20 top tips for getting the most out of Google Search

Google is the number one search engine across the world and is the search engine of choice for everyone from big businesses assessing their competition, students for conducting research, to millions of people who use it for shopping and entertainment purposes. It is almost like second nature for most people to open a browser and conduct a Google search, but are you actually making the best possible use of Google? How do you know that you are searching effectively for what you are looking for and getting the best results? We have put together a few helpful tips to make the most of your Google searches:

1: Check out the tabs in Google search.

Whenever you conduct a search in Google for something, the first screen that appears with your results will usually be displayed on the Web tab. However, if you look at the top of your search results page you will see a number of different tabs that run horizontally across the page. These tabs are usually named Web, Image, News, and More. Many people pay no attention to these alternative tab options and will only ever look at the results on the first page that comes up.You can use the different tabs to help you define what sort of results you need. Often you may find much more targeted results in a different tab to the default 'Web' tab that you have displayed automatically. For example, if you are wanting to catch up with all the latest industry news in your business sector, you may be better off entering your keywords to search and then clicking the 'News' tab. This tab will display all the latest press-releases and relevant media results for your chosen keywords.

2: Search using quotation marks

Google will always produce search results containing the keywords you choose, but you can take some of the guesswork out of the search by using phrases and keywords enclosed in quotation marks in your Google search. This helps to narrow down your search results to deliver a much more relevant selection. For example, if you were looking to buy someone a gift of a silver locket and chain for an upcoming birthday, then actually typing in “silver locket and chain” into your Google search will bring up results that contain those exact words in that order rather than a mixture of results using those words in any order.

3: Exclude unwanted words with a hyphen

You may want to do a quick Google search but the keyword you want may have an ambiguous meaning. For example, you want to look up some information on Cheddar, but you are more interested in the Somerset Town rather than the variety of cheese. To prevent your search results becoming overloaded with cheese references, use a hyphen to discount any cheese related results. You can do this by typing Cheddar -cheese into your Google search bar. This will effectively remove any cheese related links and provide you with information about the town only.

4: Get site specific results by using a colon

Sometimes you may want to catch up with news and articles about someone from once specific website or news source. Rather than having to wade your way through results from many other sources, you can narrow down your results to display only those from a particular website.Lets say for example that you typed in the following keywords: David Cameron site:BBC.comThe results that Google will provide will be content written about David Cameron, but only that published on the BBC website. This can be a great time-saver.

5: Discover sites that link to another

OK this is one that is quite an obscure trick, but nevertheless could be useful to find out who citing articles from other sites. So lets say you read Cosmopolitan magazine and wondered what other sites linked to it. You would type, link:cosmopolitan.com to find out which other websites were linking in with it. The URL you choose to add could be practicality anything, but the more specific it is, the less results you are likely to turn up.

6: Make use of the asterisk wild-card

The asterisk wild-card may not be very well known by many but is one of the most useful tricks on the list. Using asterisks (*) in your search terms will make Google leave placeholders that could be filled automatically later on. This can be a very handy way of discovering missing song lyrics, famous film lines or poetry quotations that you cannot remember too well. If you were to type in, we * fight them on the beaches, we shall fight * streets, it may look like complete nonsense, but Google will know that the asterisks can mean any word, so will look for phrases that closely contain these words and provide the results you will need. This quote is indeed the famous speech given by Churchill during WWII, but how many of us can remember it exactly word for word?

7: Similar site search

This is a useful site for businesses who want to keep up with their competition and see who is running a similar site to their own. It can also be used by anyone for entertainment purposes. For example if you are a fan of a band or an actor but were getting a little bored of the regular fan sites you visit, you can search for similar sites to find new places to go and get your information. Also great for shopping around and looking for a bargain on sale through a different site.Type in, related:eBay.com to come up with alternative sites other than eBay to browse through, or related:bradpittweb.com to find an alternative Brad Pitt fan club site.

8: Google mathematics

Did you know that you can use Google to do your maths homework for you? Either ask for basic maths solutions such as 8 * 5 + 5. The answer returned will be 45. You will also get a link to a calculator too if you need one.

9: Multiple word search

Due to the flexible nature of Google, you can search with a combination of words at once to get the results you want. Searching by single keywords may prove fruitless as the number of results given could be vast. By narrowing down your search using multiple words you will be more likely to find what you are looking for much quicker. Use complete questions or phrases such as 'how to prepare for a job interview' rather than simply typing in 'job interview'. This will give you more targeted results.

10: Search using numbers

This is a handy tip for those working in finance or who work with numbers and statistics on a daily basis. Basically you will use two dots and a number to discover what you want. So for example: Who won Wimbledon ..1973. This will tell Google to find results for that year only and no other years results should be included.

11: KISS

KISS is the acronym for Keep It Simple, Stupid. Google is great for searching out a lot of different information, but you don't have to be too specific to find the results you need. So if you wanted to find a local shoe shop, rather than type in something like: find me shoe shops in and around Birmingham city centre, you can simply type in: shoe shops nearby. Google will know your location and will deliver a list of shoe shops in your area with distances, web links, directions and map locations.

12: Add gradual keywords

If at first Google doesn't give you the exact results you want, then you can add more search terms to help narrow down your results further. So if you added: Job interview, but want more specific answers, then add in 'Job interview suit' for more targeted results.

13: Think like a website

When conducting your search, use words that websites would use. Most people use keywords that are the same as used for every day speech, but websites are not exactly human, so by using language that is more professional you stand a better chance of getting the results you want. So instead of typing 'I have toothache', try to use 'tooth pain relief'.

14: Use your main keywords

Google search works better by using your main important keywords to generate results. If you search with too many words, or use words that are a bit ambiguous, then the results can vary widely. Remember to cut the clutter when creating your search term to make it easier for Google to find the results you need.

15: Use Google shortcuts

Let's say you wanted to find out what the weather forecast is for the next 24 hours. Instead of doing a Google search for the Met Office, the clicking through to the weather map, then drilling down to the regional forecast and then selecting the 3 day forecast and scrolling through the information found on there, why not simply type in to Google search 'Weather' followed by your post code, so 'Weather SW1'. This will give you an instant weather forecast for your area.

16: Don't worry about your spelling

Google has evolved well over the years and can interpret simple grammar errors or when someone has a case of the 'fat fingers'. As long as the search term is pretty close to want you want, Google will work out what you mean and provide results that match.

17: Be descriptive

Don't be afraid to use descriptive words in your search term. The way Google interprets keywords is quite clever. Many things can be described in different ways, so be specific but also be descriptive. If you Google 'fork' you will get everything from cutlery to system calls and a copy of a repository! Do you mean a fork to eat with, a tuning fork, a river fork or a fork in the road?

18: Locating files

Google was always useful for finding specific files or file types, but this is often overlooked by people today. If you are wanting to download a specific PowerPoint presentation or PDF file that you remember looking at, you simply have to type in your search phrase followed by 'filetype:pdf' so for example: eat fat and grow slim filetype:pdf. Very useful for study purposes and also for business presentations too.

19: Currency conversion

Google also supply a very handy currency conversion calculator that is up to date with the current monetary values. It makes it easy to check the conversion rates between two different currencies, and also for when you are making overseas purchases and want to know how much the item will cost in Pound sterling. You can also convert miles to kilometres for when you are planning a journey.

20: Keep track of your packages

Many of the major delivery services such as UPS and DPD are now using track and trace to keep tabs on your deliveries. You can put your tracking number into the Google search bar and you will see the latest information about where your package is and when out for delivery, your expected time of delivery.

Conclusion:

Google is a very powerful search engine that is often underutilised by most people. By incorporating some of these handy tips and tricks into your search efforts you may well find better results or find what you are looking for much quicker without spending too much time scrolling around.

How to Lose a Customer in 10 Ways

It is important to listen to the feedback given by your customers to make improvements and avoid losing your customer to other competitors in the market.

Your customers are what helps a business survive. When customers spend money, your business can keep its doors open for another day. It is important to listen to the feedback given by customers to make improvements to slow down the frequency of customers buying from the competition.

Poor Customer Service

Poor customer service is at the top of the list when it comes to customer retention. When customers feel like a number or as “just as sale”, it does not make them want to continue to do business with your brand. Customers should be made to feel important and their questions should never be a bother to any of your employees.

Not Trending

Is your business following the current business trends? If not, your customers may be discontent with your brand. Consumers like brands that can change and evolve with advanced technology, buying trends, and consumer needs. Consumers are more attracted to brands that stay up-to-date on industry and society trends. The use of advanced technology will help your business become up-to-date and able to compete by being trendy.

Defective Products

Repeated reports of defective products makes customers leave and seek a substitute with a competitor. It is important to fully test products for safety, function, and practicality prior to releasing them for sale. When consumers see multiple product recalls from one company, their impression of the company suffers.

Poor Website Performance

When a website is slow, freezes, or does not have a properly working search function it drives traffic away. If a consumer cannot easily find what he or she is looking for, frustration sets in and additional options are sought. Ensure that your brand’s website is mobile-friendly, optimized, and organized.

Poor Brand Reputation

All it takes is one bad review being posted to start an ambush of negativity for a brand. The negative reputation can be difficult to overcome, but persistence pays off. Begin interacting with your audience, posting reviews, and reacting professionally to negativity to bring customers back.

Inconsistencies

Inconsistencies in content display, and even shipping, confuses customers. A recent trend is the demand for same day delivery, businesses not offering this option are losing customers. Society has become impatient. With advanced technology and logistics options, society expects brands to be consistent with the rest of the industry. Consumers also expect brands to deliver consistent content on a regular basis for communications purposes.

Toxic Employees

Employees that are not focused on their jobs are easily detectable by customers. When customers see employees checking cell phones, chatting in corners or are seemingly distracted, it is a big turn off. Not only does it reduce productivity, it tells customers that employees do not care about their employer or the customer. In some cases, a toxic employee may be bringing their personal issues to work, which sabotages the productivity of the entire staff.

Pricey Products

If the products manufactured by your brand are too expensive for the target audience, customers will seek out more cost effective items. It is difficult to regain customers when your prices drive them away. It is important to be competitive while still making a profit, but this cannot be at the expense of losing your customer base.

Behind Technology

Customers want to work with brands that are up-to-date on technology and features. It tells the audience that the company pays attention to society’s evolution and technology. Advanced technology enhances consumer experiences and increases brand efficiency.

Boring Marketing

If your brand’s marketing attempts are not performing, your consumer base either is bored or is unable to connect with the product. This big marketing issue needs to be fixed immediately. When marketing campaigns fail to capture the intended audience, customers will go to a competitor that has marketing campaigns that do grab their attention. To reel in new customers or keep those on the fence around, consider a few promotions.

Final Thoughts

If you make a few changes to your business strategy and standard practices, your customers will stay loyal for a longer period. With that being said, consumer experience should be a priority for your business. The customer may not always be right, but their words should act as insight regarding their unique experience with your business.
